Why are my domain emails going to spam?

Domain emails going to spam is usually caused by missing or wrong SPF, DKIM and DMARC records, a poor sender reputation, or content that looks like spam. Add the correct DNS records from your email provider, warm up new addresses, avoid spammy content and check blocklists.

Your quotes, invoices and replies only help if they reach the inbox. Emails going to spam from your business domain can lose you sales without you noticing. The cause is usually technical setup, which can be fixed in an afternoon.

Step 1: add SPF

SPF lists the servers allowed to send mail for your domain. Your email provider gives you the exact value. Use only one SPF record and include every service that sends as your domain. Google explains it in its SPF guide.

Step 2: turn on DKIM

DKIM adds a digital signature to your messages. Enable it in your email provider’s admin and publish the DNS record it gives you. Google’s DKIM guide shows the process for Google Workspace.

Step 3: add DMARC

DMARC tells receiving servers what to do with mail that fails SPF or DKIM, and sends you reports. Start with a monitoring policy, review reports, then tighten it. See Google’s DMARC guide.

Step 4: fix website emails

Contact forms and store emails often send from the web server without authentication, which is a common reason for emails going to spam. Route them through SMTP. Read why WordPress is not sending emails.

Step 5: protect your reputation

  • Send newsletters through a dedicated email marketing service, ideally from a subdomain.
  • Do not buy email lists.
  • Remove addresses that bounce.
  • Check that your domain or server IP is not on public blocklists.

Example: invoices reaching the inbox again

A design studio noticed clients saying they never received invoices. Checks showed the domain had no DKIM and an SPF record that did not include the invoicing tool. After adding DKIM, updating SPF and adding a DMARC record in monitoring mode, test emails landed in the inbox at Gmail and Outlook. Within a week, the problem of emails going to spam had disappeared, and payments arrived faster.

How to test delivery

  • Send test messages to Gmail and Outlook accounts.
  • Check the message headers for SPF, DKIM and DMARC “pass”.
  • Use your provider’s diagnostic tools.
  • Re-test after any DNS change.

Common setup mistakes

Many cases of emails going to spam come from small mistakes: two SPF records instead of one, an SPF record that forgets a sending tool, DKIM enabled in the provider but the DNS record never published, or a DMARC policy set to reject before checking reports. Review each record carefully after any change of email provider, website host or marketing tool. A quick audit of these records solves most cases of emails going to spam without any change to how you write emails.

Frequently asked questions

How long until the fix works?

DNS changes usually take effect within hours. Reputation can take longer to recover.

Can I have two SPF records?

No. Combine all senders into one SPF record.

Why are only some emails going to spam?

Different tools send mail differently. Make sure every sender is authenticated.

Do I need a developer?

If you are comfortable editing DNS, no. Otherwise, ask your host or developer.

Does Shopify need DKIM too?

Yes. Shopify lets you authenticate your sender domain for store emails.

Can website forms cause emails going to spam?

Yes, if they send without authentication. Route them through SMTP.
